  • Contact details such as name, email address, phone number, country or organization.
  • Programme information such as learner profile, course enrolment, progress, assignments, certificates or volunteer interests.
  • Donation and device-donation information submitted through WHSF forms or official third-party donation platforms.
  • Verification details used to confirm certificates or employee/staff records.
  • Messages, enquiries or support requests sent through contact forms, mobile app tools or chatbot prompts.
  • Technical information such as browser type, device information, IP address, pages visited and cookie preferences.

3. How we use information

WHSF may use information to respond to enquiries, operate learning accounts, verify certificates and staff records, coordinate volunteers and partners, process donations, improve accessibility and security, and meet applicable nonprofit, safeguarding, legal or reporting obligations.

4. When information may be shared

WHSF may share limited information only when appropriate and necessary, including with trusted technology providers, official donation platforms, approved programme partners, schools, coordinators, mentors, authorities or safeguarding bodies where required to protect a child, vulnerable person, staff member, volunteer or community member.

WHSF does not sell personal information and does not knowingly share information for unrelated commercial advertising.

5. Cookies and privacy preferences

Our website may use necessary cookies or similar technologies for core functions such as navigation, saved privacy choices, security, accessibility and form display. With your choice, the website may also use optional technologies for analytics, embedded content, videos or social media features.

You can accept, reject or manage non-essential preferences through the cookie banner or the “Privacy settings” link in the website footer.

6. Children, students and young learners

WHSF works with girls, students and young women. We aim to collect only the information needed for education, protection, programme delivery, certification and communication. Where required, WHSF expects schools, parents, guardians, programme coordinators or authorized adults to provide appropriate consent for minors participating in programmes.

We do not knowingly request unnecessary sensitive information from children. Any concern involving a child or vulnerable person should be reported immediately through WHSF’s safeguarding contact channels.

7. Data security and retention

WHSF uses reasonable administrative, technical and organizational safeguards to protect information. No online system is completely risk-free, but we work to limit access to authorized users and protect records used for learning, verification, donations and programme operations.

We keep information only for as long as needed for programme delivery, legal obligations, reporting, safeguarding, verification, donor accountability or legitimate organizational records.

8. Your choices and rights

You may contact WHSF to request help correcting inaccurate information, updating communication preferences, asking how your information is used or requesting deletion where WHSF is not required to retain the record for safeguarding, legal, verification or accountability reasons.

9. Contact WHSF about privacy

For privacy questions, corrections or concerns, contact WHSF at info@worldhsfoundation.org.

If your concern involves child safety, abuse, exploitation, harassment or immediate risk, use WHSF’s safeguarding reporting guidance and contact emergency services where appropriate.
